Legal and Safety Notice

This Acceptable Use Policy is provided for transparency and general platform guidance. It does not replace legal advice, school policy, official reporting procedures, emergency services, medical care, child protection authority guidance, or regulatory obligations. Schools and organizations remain responsible for their own safeguarding, privacy, data protection, access control, and Ministry of Education related responsibilities when using the platform.

Purpose of this policy

Child Protect is designed for safeguarding awareness training, learner progress, organization training support, and completion certificates where enabled. Because the platform may involve child learners, school communities, trusted adults, and sensitive safeguarding topics, all users must use the portal in a way that protects learners, respects privacy, and supports child safety.

Who must follow this policy?

This policy applies to anyone who visits, registers, learns, manages, assigns, supports, or administers training through the Child Protect Training Portal.

Administrators	Manage users, courses, organization records, progress, and completion data where authorized.	Access only necessary data and prevent misuse, overexposure, or unauthorized disclosure.

Acceptable use of the platform

The platform may be used only for legitimate safeguarding training, learner support, progress tracking, certificates, organization training administration, platform support, and related education or awareness purposes.

Accessing assigned or available safeguarding training.
Completing lessons, training steps, activities, and knowledge checks honestly.
Reviewing legitimate learner progress and completion status.
Using certificates as records of completed training where enabled.
Managing organization training only for authorized learners, staff, parents, caregivers, or trusted adults.
Requesting support for access, progress, certificates, technical issues, or course questions.
Using safeguarding knowledge to support safer conversations, appropriate reporting, and responsible help-seeking.
Protecting login details, child data, learner records, certificate records, and support information.

Unacceptable use

Users must not use the portal in any way that harms learners, misuses data, bypasses security, disrupts training, or creates safeguarding risk.

Account and security misuse

Sharing login details with unauthorized people.
Using another person’s account without permission.
Trying to access learner, school, organization, administrator, or certificate records without authority.
Attempting to bypass security, role permissions, payment controls, course restrictions, or access limits.
Uploading malware, scripts, automated bots, scraping tools, or harmful files.
Attempting to disrupt, overload, scan, attack, reverse engineer, or compromise the platform.
Ignoring suspected unauthorized access or failing to report account compromise.

Learner and safeguarding misuse

Using learner records to shame, embarrass, threaten, punish, label, or unfairly treat a child.
Publishing child learner data, screenshots, progress, or certificates without proper authority.
Using training content to investigate, confront, or pressure a child without authority.
Using the platform to harass, bully, target, groom, exploit, or intimidate any person.
Uploading false, unnecessary, or unauthorized child learner information.
Using child data for unrelated marketing, profiling, advertising, or unrelated business purposes.
Delaying emergency help or official reporting because training content or portal support exists.

Account access and password rules

Safe account use is essential because accounts may connect to learner progress, child data, organization records, certificates, training materials, and administrator features.

Use your own account

Users should access the portal only through their own account or an account they are officially authorized to manage.

Protect login details

Passwords and account access should not be shared, posted, reused unsafely, or given to unauthorized people.

Use the correct role

Learners, parents, caregivers, staff, organization users, and administrators should use only the access permissions assigned to them.

Report problems quickly

If an account is compromised, accessed by the wrong person, or showing incorrect learner information, contact support or the organization administrator promptly.

The platform is not an emergency reporting system

Child Protect provides training, awareness, and platform support. It is not an emergency service, child protection authority, police reporting tool, medical provider, legal advisor, or school safeguarding office. If a child is in immediate danger or there is an urgent safeguarding concern, contact the appropriate local emergency service, child protection service, school safeguarding contact, parent or guardian, or trusted authority right away.

Child learner data and privacy use

Child learner data must be treated with special care. Users may access, use, disclose, or manage child learner data only for proper training, support, security, administration, or safeguarding awareness purposes.

Acceptable handling of child learner data

Use the minimum data needed for training access and support.
Limit access to authorized users only.
Use progress records and certificates only for legitimate training or organization purposes.
Correct inaccurate learner data when discovered.
Protect data from unauthorized sharing, screenshots, downloads, or publication.
Follow the Privacy Policy and Child Data Notice.

Unacceptable handling of child learner data

Sharing child data with people who do not need access.
Using learner records to shame, blame, threaten, or unfairly treat a child.
Publishing certificates, names, progress, or screenshots without authority.
Using child learner data for unrelated marketing, profiling, or advertising.
Keeping child data longer than needed without a valid reason.
Uploading child data without proper authority, consent, or lawful basis where required.

Training content and certificate use

Training content and completion certificates must be used honestly and responsibly. Certificates support awareness and completion records, but they must not be misrepresented.

Users should complete training carefully and honestly.
Users must not impersonate another learner or complete training dishonestly for someone else.
Users must not alter, forge, sell, misrepresent, or misuse certificates.
Certificates should not be presented as a professional license, legal certification, official child protection appointment, or guarantee of compliance.
Training content must not be copied, resold, republished, scraped, or reused to create competing materials without permission.
Schools and organizations should use certificates only as training completion records unless another written agreement says otherwise.
Training should support, not replace, official safeguarding policies, reporting procedures, supervision, and qualified advice.

School and organization responsibilities

Schools and organizations that assign training or manage learners are responsible for safe implementation, proper access controls, and appropriate use of learner records.

Confirm authority before enrollment

Schools and organizations should confirm that they have proper authority, notice, consent, or lawful basis before enrolling learners or uploading learner data.

Limit administrator access

Only authorized people with a legitimate training, support, safeguarding, or organization purpose should access learner records.

Use records appropriately

Progress records and certificates should be used for legitimate training, onboarding, refresher training, support, audit, or safeguarding awareness purposes.

Follow internal procedures

Organizations should maintain their own safeguarding, child protection, privacy, incident response, reporting, access control, and retention procedures.

Respectful communication and conduct

Users must communicate respectfully when using the portal, support forms, training areas, learner records, organization tools, or any related platform feature.

Do not use abusive, threatening, discriminatory, harassing, sexual, exploitative, or harmful language.
Do not target children, learners, families, staff, schools, or organizations through platform features.
Do not submit false reports, false support requests, fake accounts, or misleading organization information.
Do not upload or submit content that violates law, privacy, child protection, intellectual property, or safety requirements.
Do not pressure a child to disclose unnecessary details through the platform.
Do not use the platform to contact children outside authorized training, school, parent, guardian, or organization processes.
Do not use training content to blame, shame, or intimidate a learner or trusted adult.

Security monitoring and enforcement

To protect learners, child data, accounts, and platform reliability, Child Protect may monitor technical activity, security events, support requests, and administrator activity where appropriate.

Security actions may include

Reviewing suspicious login activity.
Blocking abusive, automated, or harmful requests.
Limiting access during suspected misuse or compromise.
Resetting passwords or requiring account verification.
Removing unauthorized content or access.
Restricting administrator permissions.
Notifying schools, organizations, or users where appropriate.

Access may be restricted for

Unauthorized access or shared credentials.
Misuse of child data or learner records.
Harassment, threats, or harmful conduct.
Attempted hacking, scraping, or platform disruption.
False information or fraudulent certificate use.
Violation of privacy, child protection, payment, or organization requirements.
Legal, safety, regulatory, or emergency reasons.

Reporting misuse or unsafe activity

Users should report suspected misuse, unsafe activity, unauthorized access, incorrect learner data, certificate misuse, or privacy concerns as soon as possible.

Contact support or your organization administrator if an account may be compromised, accessed by the wrong person, or showing incorrect records.

Report unauthorized sharing, incorrect learner data, misuse of progress records, or certificate misuse.

Report platform abuse

Report harassment, harmful content, suspicious activity, attempted hacking, fake accounts, or misuse of support forms.

Use urgent channels for safety concerns

If a child may be in immediate danger, use the appropriate emergency, child protection, school, parent, guardian, or trusted authority channel immediately.

Updates to this Acceptable Use Policy

This policy may be updated when the portal changes, training features are added, security practices improve, legal requirements change, or safeguarding practices are strengthened.

Recommended review: Learners, parents, guardians, schools, organizations, and administrators should review this Acceptable Use Policy periodically, especially before assigning training to child learners or managing organization learner records.
